What is offer management in GetHirePlus?

Offer management in GetHirePlus is the last stage of the applicant tracking system. When a hiring team decides to hire, it generates the offer letter from the candidate's pipeline and collects post-offer documents (identity proofs, employment certificates and educational records) on the same record that already holds screening scores, interview transcripts and assessment results.

From final round
to paperwork received

The offer stage uses the same pipeline the candidate moved through, so nothing is retyped and nothing is lost between tools.

01
The team decides in the ATS

By the final stage, the record holds the resume screening score, the AI phone interview transcript, assessment results and notes from the live interview. The hiring team reviews them together and moves the candidate to offer.

02
Generate the offer letter

Create the offer letter from the pipeline. Teams can also set an automation so that an offer letter is generated when a candidate clears the final stage, the same way an assessment can be sent automatically when a phone screen passes.

03
Collect post-offer documents

Request and receive identity proofs, employment certificates from previous employers and educational records on the candidate record, without exporting the candidate to a separate HRMS for this step.

What the offer stage
gives your team

Built for recruiters and hiring managers who own the candidate until the first day.

Offer letters from the pipeline

Generate the letter from the candidate's record, so names, role details and the decision trail are already in one place.

โš™๏ธ

Automation on final clearance

Set the pipeline to generate an offer letter automatically when a candidate clears the last stage, so strong candidates do not wait on a manual step.

๐Ÿ—‚๏ธ

Post-offer document collection

Gather identity proofs, employment certificates and educational records against the same candidate, ready for background checks and joining formalities.

๐Ÿ“Š

Evidence behind the offer

Screening scores, interview transcripts and assessment results stay attached to the record, so anyone approving the offer can see why the candidate was chosen.

๐Ÿ”—

No hand-off between tools

Because the ATS, screening, interviews, assessments and offer letters are one product, there is nothing to connect for the standard workflow.

An accepted offer is not a joined employee

The weeks between the offer and the first day are where many hires are lost.

In a Gartner survey of about 3,500 candidates run from May 2022 to May 2023, 50% said they had accepted a job offer and then backed out to start with another employer, and 47% of recent hires said they were still open to other offers. Writing for People Matters in September 2025, Taggd CEO Devashish Sharma described the gap between offer acceptance and day one as the point where Indian GCC hiring pipelines are "leaking", and named 60 to 90 day notice periods and weak recruiter contact after the offer among the causes. His observations come from a focus group of HR leaders rather than a survey.

Keeping the offer and the paperwork in the hiring pipeline does not stop a candidate from changing their mind, but it does keep the stage visible. The recruiter can see who has received an offer and whose documents are still outstanding, on the same screen they used to run interviews. For more on reducing drop-offs, read why candidates don't join after accepting your offer.

A note for Indian employers: under Section 6(1)(f) of the Occupational Safety, Health and Working Conditions Code, 2020, in force since 21 November 2025, an employer must issue a letter of appointment to every employee on appointment. Identity proofs and certificates are personal data, and India's Digital Personal Data Protection Rules, 2025 bring notice, consent and retention duties into effect on 13 May 2027, according to Hogan Lovells. Ask only for the documents you need and set a retention period. This is not legal advice.

Questions about offer letters

What hiring teams ask about the last stage of the pipeline.

Does GetHirePlus generate offer letters?
Yes. Offer letter generation is part of the GetHirePlus applicant tracking system. When a candidate clears the final stage, the hiring team generates the offer letter from the candidate's pipeline, and teams can set an automation so the letter is generated on final clearance. The letter sits on the same record as the candidate's screening scores and interview transcripts.
Which documents can I collect after the offer?
GetHirePlus collects post-offer documents such as identity proofs, employment certificates from previous employers and educational records on the candidate record. Ask only for what your joining and background verification process needs, because these documents are personal data.
Do I need a separate HRMS for the offer stage?
Not for the offer letter and document collection. Both happen inside the GetHirePlus pipeline, so the candidate does not have to be exported to another system between the final interview and the paperwork. Teams that run a payroll or HR system for employees can still move joiners there after day one, and custom integrations and API access are available on the Enterprise plan.
Is an appointment letter mandatory in India?
Yes, for establishments covered by the Occupational Safety, Health and Working Conditions Code, 2020. Section 6(1)(f) requires the employer to issue a letter of appointment to every employee on appointment, in the form the government prescribes. The labour codes have been in force since 21 November 2025. An offer letter is usually issued first, and the appointment letter on joining.
How can I reduce offer dropouts?
Shorten the time from final round to offer, keep in touch with the candidate during a long notice period, and track who still has documents outstanding. In a Gartner survey reported by SHRM in 2023, 50% of candidates said they had accepted an offer and then backed out, so the stage after acceptance needs the same attention as the interviews.
Can I make an offer letter without a GetHirePlus account?
Yes. The free offer letter generator at gethireplus.com/tools/offer-letter-generator creates an Indian format offer letter without signing up, and the same toolkit has appointment, joining and experience letter generators. The in-product offer stage is for teams that want the letter and documents tied to the hiring pipeline.
