Enter the old and revised CTC, and get a complete salary increment letter with the hike percentage, the revised breakup, the effective date and any arrears due. Built for Indian payroll and the wage rules in force since 21 November 2025.

An increment letter tells an employee that their pay is being revised. It is issued after an appraisal, promotion or market correction, ideally before the new pay takes effect. It should state the old and revised CTC, the hike percentage, the effective date, the revised salary breakup and any arrears owed.

Use a real person, not "HR Department".
If this is in the past, arrears are computed automatically.
Keep at 50 or above to stay inside the new wage definition.

How to write a salary increment letter in India

An increment letter is a short document that does a lot of work. It records what the new package is, from when it applies, and what changed in the structure. Payroll uses it to update the salary master, the employee keeps it as proof of the revision, and background verification teams at the next employer often ask for it. Vague wording here creates disputes months later, so state the numbers plainly.

Benchmark for 2026. The Deloitte India Talent Outlook 2026 projects an average increment of 9.1 percent for 2026, against 9.0 percent in 2025, with technology companies trimming their projections. The Aon Annual Salary Increase and Turnover Survey 2025-26 also projects 9.1 percent for 2026, up from an actual 8.9 percent in 2025, with real estate and infrastructure highest at about 10.2 percent. These are survey averages; your budget and each employee's rating matter more.

What an increment letter should contain

✓Company name and letterhead
✓Employee name, ID and designation
✓Current CTC and revised CTC
✓Increase amount and hike percentage
✓Specific effective date
✓Revised component wise breakup
✓Arrears position, if any
✓Revised designation, for a promotion
✓Line confirming other terms are unchanged
✓Named authorised signatory

How the hike percentage is calculated

The formula is simple, and the mistakes are all in what gets compared.

Hike percentage = (Revised CTC minus Current CTC) divided by Current CTC, multiplied by 100.
Example: a move from Rs. 8,00,000 to Rs. 8,80,000 is an increase of Rs. 80,000, so the hike is 80,000 divided by 8,00,000, which is 10 percent.

Compare like with like. CTC against CTC, or monthly gross against monthly gross. Comparing a revised CTC against an old in-hand figure inflates the apparent hike, and it is the single most common reason an employee reads an increment letter and feels misled. If your letter states CTC, say the word CTC. Use the Salary Hike Calculator to model different percentages, and the In-Hand Salary Calculator to show what the revision means monthly.

Arrears: when the letter is late

Appraisal cycles slip. If the revision takes effect from 1 April but the letter is issued in July, the employee has been paid at the old rate for three months and the difference is owed as arrears.

Arrears = monthly increase multiplied by the number of complete months between the effective date and the letter date. This tool computes that figure automatically and adds an arrears paragraph to the letter when the effective date is in the past.

Arrears are taxable in the year they are received, which can push the employee into a higher slab in that year even though the money relates to earlier months. Relief is available by recomputing the tax as if the arrears had been received in the years to which they relate. From tax year 2026-27 this relief sits in section 157 of the Income-tax Act, 2025 and is claimed in Form 39, which replaced Form 10E. For arrears received in 2025-26, the old section 89 and Form 10E still apply. File the form before the income tax return; relief claimed without it is usually disallowed at processing.

Caveat worth flagging: commentary is divided on whether this relief (section 89, now section 157) can be claimed alongside the new tax regime. Some advisers treat it as a computational mechanism that survives the regime choice, others treat it as a relief that does not. Employees should confirm their own position with a tax adviser before relying on it.

Use the increment to fix a legacy salary structure

The Code on Wages, 2019, in force since 21 November 2025, defines wages as basic pay, dearness allowance and retaining allowance, and caps the excluded components (HRA, conveyance, special allowance, overtime, bonus) at 50 percent of total remuneration. Anything above that cap is added back and treated as wages, which raises the base for provident fund, gratuity and statutory bonus regardless of how the salary slip is labelled.

Plenty of Indian salary structures still carry basic at 25 to 35 percent of CTC from the pre-code era. An increment is the cleanest moment to correct that, because the higher basic can be absorbed inside the raise instead of appearing as a reduction in take home pay. This generator defaults basic to 50 percent of the revised CTC and warns you if you set it lower.

ComponentHow it is computed hereNote
Basic payYour chosen percentage of revised CTC, default 50 percentBasic plus DA is the statutory wage base
House rent allowance50 percent of basic in a metro city, 40 percent elsewhereMatches the HRA exemption ceiling (50 percent metro, 40 percent elsewhere) under the old tax regime
Employer provident fund12 percent of basic, or 12 percent of Rs. 15,000 if you pick the ceiling optionThe provident fund wage ceiling stands at Rs. 15,000 per month
Gratuity provision4.81 percent of basic15 days of pay per completed year expressed monthly: (15 divided by 26) divided by 12
Employer ESI3.25 percent of gross, only where gross is up to Rs. 21,000 a monthApplies where the establishment is covered by the ESI scheme
Special allowanceThe balancing figure that makes the components add up to CTCKept inside the 50 percent excluded-component cap

The summary above the letter also shows the employee provident fund deduction at 12 percent of the same basic wage and the employee ESI share at 0.75 percent where applicable. Income tax and professional tax are not deducted, because both depend on the regime choice, declarations and the state.

Timing the appraisal cycle

StepGood practice timingWhy it matters
Rating conversationsFirst week of the effective monthThe employee hears the outcome from the manager, not from the payslip
Increment letter issuedBefore or during the effective monthAvoids arrears entirely and keeps TDS smooth
Payroll updatedSame month as the effective dateNo catch-up entry, no spike in the arrears month
Letter filedWith the employee recordNeeded for background verification and future revisions

Mistakes that create disputes

How to write an increment letter, step by step

  1. Confirm the approved revised CTC (or hike percentage) and the effective date with payroll.
  2. Enter the employee, company and signatory details, and mark whether the designation is changing too.
  3. Enter the old and revised CTC, choose the basic pay percentage and PF basis, and decide whether to show the breakup.
  4. Check the hike percentage, revised monthly gross and any arrears the tool calculates.
  5. Add the reason and rating only if you want them on record, then generate the letter.
  6. Print on letterhead, have an authorised signatory sign it, and issue it before the effective month where possible.

Frequently asked questions

What is an increment letter and how is it different from an appraisal letter?
An increment letter records a revision in compensation: the revised CTC, the effective date and the new salary breakup. An appraisal letter records the outcome of a performance review, which may include a rating, feedback and a promotion. Most Indian employers combine the two into a single appraisal cum increment letter issued at the end of the review cycle. Either way, the document should state the revised numbers clearly, because it becomes the reference point for payroll, for background verification at the employee's next job, and for any dispute about what was promised.
What is the average salary increment in India in 2026?
The Deloitte India Talent Outlook 2026 projects an average increment of 9.1 percent for 2026, against 9.0 percent in 2025. The Aon Annual Salary Increase and Turnover Survey 2025-26 also projects 9.1 percent, up from an actual 8.9 percent in 2025, with real estate and infrastructure highest at about 10.2 percent. Technology companies have trimmed their projections. These are survey averages, and individual increments vary widely with rating and role.
How is the increment percentage calculated?
Increment percentage equals the increase divided by the old salary, multiplied by 100. If the CTC moves from Rs. 8,00,000 to Rs. 8,80,000, the increase is Rs. 80,000 and the hike is 80,000 divided by 8,00,000, which is 10 percent. Always compare like with like: CTC against CTC, or monthly gross against monthly gross. Comparing a new CTC against an old in-hand figure overstates the hike and is one of the most common causes of arguments after an appraisal.
What are increment arrears and when are they payable?
Arrears arise when the increment letter is issued after the effective date. If the revision takes effect from 1 April but the letter is issued in July, the employee has been underpaid for the intervening months, and the difference is paid as arrears in the next payroll cycle. This generator computes arrears as the monthly increase multiplied by the number of complete months between the effective date and the letter date. Best practice is to issue the letter before the effective month so that arrears and the tax spike they create are avoided entirely.
How are salary arrears taxed in India?
Arrears are taxed in the year they are received, which can push the employee into a higher slab in that year even though the income related to earlier years. Relief is available by recomputing tax as if the arrears had been received in the years to which they relate. From tax year 2026-27 this is section 157 of the Income-tax Act, 2025, claimed in Form 39 (which replaced Form 10E); for arrears received in 2025-26, section 89 of the 1961 Act and Form 10E apply. File the form before the return. Commentary differs on whether the relief can be claimed alongside the new tax regime, so employees should confirm their position with a tax adviser. Our Income Tax Calculator helps compare the two regimes.
Does the revised salary breakup have to follow the 50 percent wage rule?
It should. The Code on Wages, 2019, in force since 21 November 2025, defines wages as basic pay, dearness allowance and retaining allowance, and caps excluded components such as HRA, conveyance and special allowance at 50 percent of total remuneration. Anything above that cap is added back and treated as wages. An increment is the natural moment to correct a legacy structure that kept basic at 25 to 35 percent of CTC, because the correction can be absorbed inside the raise rather than shown as a cut. See the CTC Breakup Calculator to model alternatives.
Is an employer legally required to give an annual increment?
For most private sector employees there is no statutory right to an annual increment. Increments flow from the employment contract, company policy or a settlement. What the law does require is that wages never fall below the applicable minimum wage, and that any promised revision, once recorded in writing, is honoured. Employees covered by a wage settlement, a state government pay revision or dearness allowance linkage may have a contractual or negotiated entitlement. Our Minimum Wage Calculator and DA Calculator cover those cases.
Should an increment letter mention the performance rating?
It is optional and many employers choose to leave it out, but naming the rating and a brief reason makes the increase feel earned rather than routine. If you do include it, keep the language factual and consistent with what the manager said in the review conversation, since the letter goes into the employee's file and may be produced later in a dispute about performance or termination.
Does an increment change the employee's provident fund and gratuity?
Yes. Provident fund is 12 percent of basic wages from the employee with a matching employer contribution, so a higher basic raises both. Employers may compute on actual basic or restrict contributions to the notified wage ceiling of Rs. 15,000 per month, and the letter should make clear which approach applies. Gratuity is also computed on last drawn basic plus dearness allowance, so the revision raises the eventual payout as well. Employees State Insurance stops applying once gross monthly wages cross Rs. 21,000, so an increment can move someone out of ESI coverage entirely.
