Understanding Your Salary Slip: A Complete Guide

A salary slip (also called a payslip or pay stub) is an official document issued by an employer each month. It shows the breakdown of earnings and deductions for that pay period. In India, issuing a wage slip is a legal duty under Section 50(3) of the Code on Wages, 2019, in force since 21 November 2025, and it is essential for tax filing, loan applications, visa processing and background verification.

Standard Structure of an Indian Salary Slip

Every salary slip in India has three sections: employee and employer information, earnings (gross pay) and deductions. The difference between gross and total deductions gives the net pay (take-home).

SectionWhat It Covers
HeaderCompany name, employee name, ID, designation, department, PAN, PF number, pay month
EarningsBasic Salary, HRA, allowances (Conveyance, Medical, Special), Bonus or Incentive
DeductionsEPF (employee share), ESI (if applicable), Professional Tax, TDS, any loan or advance recovery

Earnings Components Explained

Basic Salary is the core of your compensation and the base on which EPF, gratuity and HRA are calculated. Under the Code on Wages, 2019, basic plus dearness allowance together must constitute at least 50% of total remuneration. This generator defaults basic to 50% of gross to keep you compliant.

HRA (House Rent Allowance) helps cover rental expenses. In metro cities, HRA is typically 50% of basic (for the tax exemption, the 50% list covers Delhi, Mumbai, Kolkata, Chennai, Bengaluru, Hyderabad, Pune and Ahmedabad from tax year 2026-27); in non-metro cities it is 40% of basic. Actual HRA received is shown on the slip; how much is tax-exempt depends on rent paid and the city.

Special Allowance is a residual component: whatever is left after basic and HRA are set. It is fully taxable.

Statutory Deductions

DeductionRateEligibility
EPF (Employee)12% of Basic; on the statutory ceiling it is Rs 3,000 (12% of Rs 25,000)All employees in covered establishments
ESI (Employee)0.75% of Gross WagesEmployees with Gross up to Rs 21,000/month
Professional TaxState-specific, up to Rs 2,500/yearEmployees in applicable states only
TDS on SalaryAs per income tax slabs, projected annually then divided by 12All salaried employees with taxable income

EPF wage ceiling: the statutory wage ceiling was raised from Rs 15,000 to Rs 25,000 a month with effect from 17 September 2026 (the first change since September 2014). If Basic is Rs 30,000 and the employer restricts PF to the ceiling, the EPF deduction is Rs 3,000 (12% of Rs 25,000), not Rs 3,600. Employers may also deduct on full Basic. This generator uses the ceiling, so enter an override in Other Deductions if your employer deducts more.

Frequently Asked Questions

The employee EPF contribution is 12% of basic salary. Where the employer restricts PF to the statutory wage ceiling, now Rs 25,000 a month (raised from Rs 15,000 on 17 September 2026), the deduction is capped at Rs 3,000. So if your basic is Rs 30,000, your EPF deduction on the ceiling is Rs 3,000, not Rs 3,600. The employer also contributes 12%, split between EPF and EPS (pension).
Employees with gross salary of Rs 21,000 per month or less are covered under ESI, now governed by the Code on Social Security, 2020. The employee contributes 0.75% of gross wages and the employer 3.25%. If gross salary exceeds Rs 21,000, ESI is not deducted from the salary slip.
Professional Tax is levied in about 16 states: Maharashtra, Karnataka, West Bengal, Andhra Pradesh, Telangana, Tamil Nadu, Gujarat, Assam, Chhattisgarh, Kerala, Meghalaya, Odisha, Tripura, Jharkhand, Bihar and Madhya Pradesh. Delhi, UP, Rajasthan, Haryana and many other states do not levy PT. The maximum in any state is Rs 2,500 per year.
Gross salary is the total of all earnings before any deductions: Basic + HRA + all allowances + bonus. Net salary (take-home pay) is gross salary minus all deductions (EPF, ESI, Professional Tax, TDS and other amounts). Net salary is what gets credited to your bank account on payday.
Yes. Section 50(3) of the Code on Wages, 2019, in force since 21 November 2025, requires every employer to issue wage slips to employees in the prescribed form. Many state shops and establishments laws carry a similar duty. Failure to issue them can attract penalties.
Under the new regime for tax year 2026-27, a rebate under Section 156 of the Income-tax Act, 2025 (earlier Section 87A) applies if net taxable income does not exceed Rs 12,00,000. After the standard deduction of Rs 75,000, employees with annual gross income up to roughly Rs 12.75 lakh may have zero net TDS. Also, Form 12BB investment declarations under the old regime reduce projected taxable income and hence TDS.
