Absenteeism Rate Calculator

Updated · GetHirePlus team

Enter your headcount, working days and unplanned absent days for any period. Get the absenteeism rate, days lost per employee, the pay value of those lost days, and a Bradford factor score for any one employee.

Absenteeism rate = unplanned absent days ÷ (employees × working days) × 100. Count sudden sick days and unauthorised absence, not approved leave or holidays. Example: 120 employees, 22 working days and 64 absent days give 64 ÷ 2,640 = 2.42%. Add spells per person to get a Bradford factor score.

How the absenteeism rate is calculated

The absenteeism rate tells you what share of the time you scheduled people to work was lost to unplanned absence. HR teams usually calculate it in days:

Absenteeism rate (%) = unplanned absent days ÷ (number of employees × working days in the period) × 100

The bottom half of the formula is your scheduled capacity: every employee multiplied by every day they were due to work. Leave out weekly offs and public holidays, because nobody was scheduled on those days. This is the same idea the U.S. Bureau of Labor Statistics uses for its lost worktime rate, defined as hours absent as a percent of hours usually worked. AIHR gives the same days based formula and counts only unplanned absence.

What to count as absence

  • Count: sudden sick days, unauthorised absence, no call no shows, and leave taken without prior approval.
  • Do not count: approved earned leave, public and festival holidays, weekly offs, maternity leave, compensatory offs and days on official duty away from the desk.
  • Decide once: whether approved sick or casual leave counts. Many Indian companies track it separately so the headline rate shows only unplanned absence. Write the rule down and keep it the same every month, or the trend means nothing.

Half days count as 0.5. If your teams run shifts of very different lengths, track hours instead of days. The formula does not change: time lost divided by time scheduled.

Pay value of lost days

The calculator multiplies absent days by a daily rate, which is monthly gross pay divided by the days basis you pick. Read it as the wage value of the capacity you lost, not a cash loss. If the absence was paid leave, you paid that amount for no output. If it was unpaid, the wage was saved but the work was still not done, and overtime or temporary cover usually fills the gap.

For unpaid absence, the Code on Wages, 2019, in force with the other labour codes since 21 November 2025, limits the deduction. Under Section 20, the amount cut cannot be larger, in proportion to the wages for the wage period, than the share of required working time the employee was absent. Use the Loss of Pay calculator for the exact salary cut.

The Bradford factor

Two people can lose the same number of days in very different ways. The Bradford factor puts more weight on frequent short absences, which are usually harder for a team to plan around than one long absence:

Bradford factor = S × S × D, where S is the number of separate absence spells and D is the total days absent, normally over a rolling 52 weeks.

Pattern over 52 weeksWorkingScore
One 10 day absence1 × 1 × 1010
Two 5 day absences2 × 2 × 1040
Five 2 day absences5 × 5 × 10250
Ten 1 day absences10 × 10 × 101,000

Employers who use it often set review points around 51, 201 and 401 (RosterElf guide). These are convention, not law. No Indian statute sets Bradford factor thresholds, so any trigger is your own policy.

Use the score with care. Exclude absence linked to maternity, disability, a workplace injury or sickness certified under ESI, and treat any score as a reason for a conversation, not as an automatic warning. A mechanical trigger can treat people with a health condition unfairly. Take legal advice before linking scores to discipline.

Benchmarks and how to read your number

We could not find a current, public all India absenteeism benchmark, so this page does not show one. The closest regularly published official figure we found is from the United States: the BLS Current Population Survey reports a 2025 lost worktime rate of 1.7 percent for full time wage and salary workers, of which 1.1 percent was illness or injury. Treat it as a reference point only, because it measures hours, covers a different labour market and includes all absence reasons.

  • Watch the trend, not one month. Absence in India often rises around festivals, monsoon illness and long weekends. Compare the same month across years.
  • Split by team and shift. A company rate of 2 percent can hide one shift at 8 percent.
  • Look at Monday and Friday absence and absence next to holidays. A cluster there usually says more than the headline rate.
  • Talk before acting. High absence often traces back to workload, a manager issue, commuting or a health problem that a conversation will surface faster than a policy.

Frequently asked questions

What is the formula for absenteeism rate?

Absenteeism rate = unplanned absent days divided by scheduled workdays, multiplied by 100. Scheduled workdays are the number of employees multiplied by the working days in the period. For example, 64 absent days across 120 employees and 22 working days is 64 divided by 2,640, or 2.42 percent.

Should approved leave count as absence?

No. Most HR teams count only unplanned absence, such as sudden sick days and unauthorised absence, and exclude approved earned leave, public holidays and weekly offs. Including planned leave inflates the rate and hides the pattern you want to see. Whatever rule you pick, apply it the same way every month.

Is there an official absenteeism benchmark for India?

We could not find a current, public all India absenteeism benchmark. The U.S. Bureau of Labor Statistics reports a 2025 lost worktime rate of 1.7 percent for full time wage and salary workers in the United States, which is a reference point only. Your own month on month trend is the more useful comparison.

What is the Bradford factor?

The Bradford factor is a score that weights frequent short absences more heavily than one long absence. The formula is S squared multiplied by D, where S is the number of separate absence spells and D is the total days absent, usually over a rolling 52 weeks. Ten one day absences score 1,000, while one ten day absence scores 10.

Can an employer in India use the Bradford factor to take disciplinary action?

No Indian statute sets Bradford factor thresholds, so any trigger levels are company policy, not law. Use a score as a prompt for a conversation, not as an automatic sanction, and exclude absence linked to maternity, disability, workplace injury or ESI certified sickness. Take legal advice before tying scores to discipline.

Can salary be cut for days an employee was absent?

Under Section 20 of the Code on Wages, 2019, in force since 21 November 2025, a deduction for absence from duty cannot be larger, in proportion to the wages for the wage period, than the share of required working time the employee was absent. Use the Loss of Pay calculator to work out the amount.

Should I calculate absenteeism in days or hours?

Use hours if your teams work shifts of different lengths or take many part day absences, and days if most absences are full days. The formula is the same: time lost divided by time scheduled. This calculator accepts half days, such as 0.5, in the absent days field.
