Joining letter format in India: the complete guide

A joining letter is the document that puts your first day on the record. It is short, it is formal, and it is the one piece of paper that later settles arguments about when your service actually started. That date drives your gratuity eligibility, your leave accrual, your first appraisal cycle and what a background verification agency sees when it checks your history.

The word "joining letter" is used for two different documents

This trips up most people searching for a format, so it is worth separating the two before you pick a template.

Banks, PSUs, government departments, schools and manufacturing plants commonly ask you to fill and sign one on the day you report so it can go straight into the personnel file. Employers, note the change from 21 November 2025. On that date the four labour codes came into force, and section 6(1)(f) of the Occupational Safety, Health and Working Conditions Code, 2020 made a written appointment letter compulsory for every employee in a covered establishment (broadly, ten or more workers), permanent or fixed term. Per the government's announcement, the letter must carry designation, category, wages and social security details. What to put in an employee joining letter

  1. Date of writing. Not your joining date. The two are usually different.
  2. Recipient block. The HR contact named in your offer letter, their designation, the company name and address. If you have no name, "The HR Manager" is fine.
  3. Subject line. One line, specific: "Joining letter for the position of Software Engineer".
  4. Acceptance sentence. Name the role and refer to the offer or appointment letter by date, and if you have it, by reference number.
  5. Date of joining, and reporting time if it was specified. Write the date in full, so 14 September 2026 rather than 14/09/26, which is read two ways.
  6. Work location, if you were assigned one.
  7. Enclosure list. Number the documents you are attaching.
  8. Close and sign, with your phone number and email under your name.

Sending it by email

Keep the subject line identical to the letter subject, paste the letter into the body rather than sending a bare attachment, attach the scanned documents as one PDF where you can, and ask for an acknowledgement. Send it from a personal email you will still have access to after you leave that job, not from your current employer's address.
